If you're anything like me, your sticker inventory used to live in a chaotic drawer—or maybe a few bins—and every time you got an order, you'd spend five minutes digging for the right design.

I used to think a small business meant small messes. But honestly? A sticker shop can get real messy real fast if you don’t have a system.

After trial and error (and more than one lost sticker sheet), I finally landed on a simple organization system that actually works. It doesn’t require a fancy label printer or wall-to-wall shelving. Just some smart thinking, affordable supplies, and habits that stick.

Let me show you how I do it.

Step 1: Sort by Product Type

The first mistake I made was organizing everything by size. That didn’t help when I had five different designs in 2-inch circles. Now I sort everything by product type:

  • Die-cut singles

  • Sticker packs

  • Thank-you stickers

  • Holiday designs

  • Business logo orders

Within each category, I keep items in separate bins, folders, or zip pouches.

Step 2: Use Clear Bins with Labels

Nothing beats visibility. I use clear plastic drawers labeled with washi tape and marker (yes, I keep it cute). One drawer is for shipping supplies, another for finished sticker stock, and one for scraps or freebies.

You don’t need a massive shelving system. Even a three-drawer cart from Target can do wonders.

Step 3: Create a “Restock Soon” Box

This one changed everything for me.

Whenever a design gets down to 5 or fewer pieces, I move it into a little “restock soon” box on my desk. That way I’m not caught off guard by a sold-out listing—or scrambling to reprint at 1 a.m.

I do a restock check once a week, usually on Sunday night.

Step 4: Keep Freebies in a Separate Spot

I always toss a few freebie stickers into orders. It’s a small gesture that customers love—and a great way to use up overstock or trial prints.

But those freebies deserve their own container. I keep mine in a small tray labeled “surprise gifts” so I don’t accidentally give away full-priced designs.

Step 5: Label Your Folders (Digitally Too!)

Even if you’re a physical sticker seller, your digital files need love too.

On my computer, each design has its own folder labeled with:

  • Product name

  • Size (e.g., 2.5 inch)

  • Status (active, retired, testing)

This helps me when customers ask, “Can I reorder that sticker from three months ago?”

Spoiler: Yes, because I can find it in 10 seconds.

Bonus: Sticker Inventory Template

I used to hate spreadsheets… until I lost track of which designs were low in stock.

Now I use a super basic Excel sheet with just three columns:

  • Design Name

  • Quantity On Hand

  • Last Restock Date

Why It Matters (And What Happened When I Got Organized)

Since using this system:

  • I ship orders faster

  • I don’t overprint as much

  • I can prep seasonal designs before I run out
